Marketing Proposal Specialist

Under the direction of the Marketing Director, the successful Marketing Proposal Specialist will support organizational leaders by assisting with project opportunities, developing persuasive proposals, creating professional marketing presentations and materials, and maintaining organizational systems and tools to promote overall marketing/proposal efficiency, effectiveness, and consistency. This positions’ primary concentration will be to successful produce and coordinate best-in-class marketing proposals and presentations, to win new business, and assist Key Project Stakeholders as outlined below. 

The responsibilities of this position include, but are not limited to:

  • Works directly with the Marketing Director, marketing team personnel, and other Key Project Stakeholders coordinating the department’s proposal activities, presentations, and RFP/Q deadlines. 
  • Creates visually and technically sound presentations using Adobe InDesign and PowerPoint. 
  • Assists with generating content additions, editing of text, design layout, graphics, tailoring resumes for standard proposals and presentations. 
  • Updates various proposal drafts (text/graphics) as well as final production; ensuring timely delivery of proposals in accordance with RFP instructions – collating, printing, binding, packaging of hard/soft copies, including digital and interactive media. 
  • Maintaining project schedules for marketing/proposal initiatives and deadlines. 
  • Provides detailed QA/QC to ensure all technical requirements achieve favorable scoring.
  • Assists with scheduling and coordinating kickoff meetings, post-submission interview and debrief meetings 
  • Contributes fresh ideas to keep the firm’s proposal deliverables competitive and up to date. 
  • Assists efforts to maintain a working knowledge of public and private solicitation and vendor sites, including internal CMS platform as it relates to tracking proposals. 
  • Supports production, organization, and upkeep of project descriptions, team resumes, file assets, past proposal content, and template repositories/libraries. 
  • Maintains organized and efficient filing system(s) ensuring accountability for actions. 
  • Assists in the creation of post project award submittals and opportunities  
  • Develops and maintain relationships with marketing counterparts of clients, potential clients, architects and engineers in relation to proposal support files and resumes. 
  • May assist with limited Business Development Support at industry events. 

 

Minimum Requirements:

  • Bachelor’s degree in Marketing, Communications, Journalism, Graphic Arts, or other related fields, or equivalent work experience. 
  • Minimum 3-5 years’ experience in a Marketing role responding to RFP/Qs, particularly those for professional services and government contracts, working in a collaborative office environment, planning proposal responses, generating the overall layout and production of proposal documents.
  • Must be proficient in Adobe (InDesign/Photoshop/Illustrator/Etc.).
  • Must be proficient in MS Office (PowerPoint, Word, and Excel).
  • Experience in the A/E Industry with private and public clients is a major plus. 
  • Photography editing and Infographic experience is a plus.
  • Ability to work well under pressure of marketing and proposal deadlines, fast-paced environment, and with last-minute changes.
  • Effective communication skills – verbal, writing, editing, proofreading, and formatting skills.
  • High level of dependability, integrity, detail oriented with strong organizational skills.
  • The ability to set priorities, multi-task, and self-manage project assignments from start to finish.
  • Works well with little supervision, displays initiative, independent thinking, and teamwork.
  • Positive attitude with an ability to understand complex topics.
  • Flexibility to occasionally work outside normal business hours to meet proposal and presentation deadlines (and corresponding company flexibility in your normal workdays/hours).
